The Organ Procurement Coordinator performs a variety of duties, all of which are either directly or indirectly related to increasing the availability of suitable organs and tissues for transplantation. These duties include identification and management of the organ donor; placement of the organs; operating room responsibilities during the procurement process; and post organ donation debriefing. Duties may also include hospital and community education and development to increase organ and tissue donor awareness when assigned.
Key Responsibilities
- Participate in a rotating call schedule; call coverage may exceed 50% of days per month.
- Work hours dictated by donor activity; may require off‑schedule staff to be called in during emergent need.
- Initial 6–12 months include 50% call coverage for training.
- Travel required by car, chartered planes/helicopters, and car services.
Professional Conduct
- Maintain professional, honest relationships with donor families, hospital teams, examiners/coroners, and colleagues.
- Protect confidentiality under applicable policies and regulations.
- Communicate urgent issues promptly to leadership.
- Manage time effectively and follow attendance guidelines.
Donor Identification & Evaluation
- Assess donor suitability based on medical and age criteria.
- Rule out medically unsuitable donors appropriately.
Electronic Medical Record Documentation
- Maintain accurate, timely documentation in Electronic Medical Records.
- Record demographics, medical history, clinical data, diagnostic results, and all required CDT/UNOS information.
Family Support & Authorization
- Obtain legal authorization for donation per policies and regulations.
- Identify legal decision-makers including first‑person consent.
- Provide emotional support and gather accurate medical/social history.
Organ Donor Management
- Collaborate with hospital staff and follow CDT clinical protocols.
- Maintain donor stability and ensure all required testing is completed.
- Communicate with recovery teams and transplant centers.
Organ Placement
- Allocate organs per CDT and UNOS policies.
- Enter accurate data into CDT and UNOS systems and generate recipient lists.
- Communicate organ information to transplant programs and place research organs when applicable.
Operating Room Coordination
- Coordinate surgical recovery procedures and OR scheduling.
- Ensure equipment availability and assist in organ preservation, packaging, and transport.
Donor Hospital Follow-Up
- Return to donor hospitals within 3 business days to provide feedback and support process improvement.
Administrative Duties
- Participate in daily huddles, case review meetings, and after‑action reviews.
- Support quality improvement initiatives and complete donor charts.
- Report events to leadership as required.
Qualifications
- Bachelor’s Degree in related field – preferred
- RRT/RN/BSN and/or Paramedic experience in Critical Care Setting – Preferred
- High attention to detail and time management skills.
- Office 365 Competency
- Ability to work in a high stake/stress environment
- Willingness to participate in on-call activities
- Strong knowledge of medical terminology
- Ability to provide coaching and feedback to personnel
- CPTC – Certified Procurement Transplant Coordinator Upon Hire – preferred
Equivalent combination of relevant education and experience may be substituted as appropriate.
